Hello everyone!

Today I am going to discuss a very helpful tool on your Ricoh copier, which is the Address Book. This is the feature you use when scanning to your e-mail, a folder, or even use for User Codes to control copying and printing.

With the advancement of all electronic equipment, copiers too, have advanced. They not only have many moving parts, they also have computer boards in them to make the magic work.  The one thing they also have, and you probably didn’t even know this, is a hard drive just like the one in your work computer. The hard drive is what actually holds the information for the copier’s Address Book.

Now we all know that even though hard drives are good, they can fail eventually. And when they do, they can cause a bit of a disturbance to your workflow. Your copier is no different. If the hard drive in your copier fails, you can lose all the entries in the Address Book! How do you get them back, you ask? You have to program them back into the copier’s Address Book after your tech replaces the drive.

If you are a small office, then maybe that’s not a big problem. But what if you have over a hundred entries…  Indeed, that would be no fun to re-enter everything!

What if I were to tell you there is a way to avoid this pain. What would you think if I were to tell you that if the drive did crash, that you could recover all those entries within a few moments?  Are you interested now…?  If so, then keep reading and I’ll tell you the secret.

If you log into the copier’s Web Interface and go to the page where you make changes to the Address Book, you will see a link that is called Maintenance. Click it!

You will be taken to a screen where you can either, a: Backup the Address Book. Or, b: Restore the Address Book.

Click on Backup, and then choose where you would like to save the file. I recommend saving it to a clearly named folder in a very easy to find place… like the desktop of your computer.

Now, if your hard drive fails and the Address Book is “wiped out”, all you have to do is log into the copier’s Web Interface, go to Maintenance in the Address Book section and choose “Restore”. Locate your backup file and viola! Your Addresses have all returned and you are the “Office Hero”!

Caveat:  As they say… Save and save often.  If you make changes to the Address Book, then make a new Restore File. Old data never helps anyone!
