Getting Started with A Print Security Plan

December 17, 2019 | Advanced Office

The data streams that flow within your computer network are full of sensitive data. Information about the company's finances, partners, investors, and employees must be safeguarded to keep it out of the hands of thieves. Making sure it is safe on the office computers is one way to protect data, but it isn't the only way. If your printers don't have a high level of security, they will leave your company vulnerable to attacks.

Print Encryption

Reliable encryption of any file is a great way to keep the data safe. As data streams are sent from computer to computer as well as to and from mobile devices, those streams must be encrypted from the source to the recipient. This is also true for data streams that go to and from the office printers. Print security is needed to create and maintain end-to-end encryption for every document printed.

Physical Security

Print security is mostly about digitally keeping files safe. However, if the documents can be physically stolen, all of that encryption was for nothing. When anyone in the office prints a document, the physical copy is sent out of the machine and onto a tray to await being picked up by whoever printed it. This arrangement leaves those papers vulnerable to theft. Part of your company's print security measures should be to keep the printer locked so that no pages are visible. This keeps them safe for the person printing them to retrieve.

 Your Secure Network

If your files are encrypted, and hard copies are safe, there are still other ways that a data breach can happen. Part of your print security measures should be keeping the entire network secure with strong passwords and employee accountability. If an employee can print out documents that he shouldn't have access to, this requires a stronger security system that allows fewer people access to sensitive documents.
