Automating a Critical Process - A Success Story

January 16, 2018 | Advanced Office

Recently we were engaged by a customer looking to speed up and digitize a time consuming manual paper process.  They are growing quickly but felt held back by how much they were spending in time and money on paper, service, and employee hours for a critical process.  After working with Advanced Office, we were able to implement a solution that eliminated all the time and costs associated with manual paper-pushing, resulting in an incredibly fast adoption and Return on Investment.

This company had a critical process that involved printing many thousands of pages, manually creating physical files, moving them around the office, and then finally scanning and shredding them.  Their main complaints were the costs of time and money associated with all the printing, paper, and employee hours this took up.  Additionally, there were common issues with missing files and missing documents that only added time and frustration to everyone's job.  As it stood, their process was not allowing the company to grow as fast as they wanted to.

After meeting with each team member and analzying their individual processes, the Advanced Office team was able to design a solution to streamline this critical process.  Now, instead of printing and filing paper, documents are sent directly from a workstation to a common file repository.  Rapidly filled out index fields ensure automatic and consistent file creation and routing.  Now, every file is available to every authorized employee at any time.  If anyone needs to add files, they can be sent on the fly without hunting for the folder.

Employees rapidly adopted this workflow and have now reported that they can't live without it.  This has and will continue to save massive amounts of time and money for the customer, resulting in a very fast Return on Investment.

If you have a paper-intensive process, you may also be able to benefit from automation.  Just give us a call and we would be happy to discuss.
